Privacy Policy

Linkallup helps companies collect and organize field documentation. This policy explains what information we process, why we use it, and the controls available to you and your organization.

Scope

This Privacy Policy applies to the Linkallup website, web application, mobile web experience, and related support and email communications. “Linkallup,” “we,” “us,” and “our” refer to the Linkallup service.

Linkallup is designed for business use. The company or organization that creates a workspace controls its projects, members, permissions, and uploaded content. Workspace owners and administrators may access information submitted by members of their organization according to the access controls configured in the service.

Information we collect

Account and company information

We collect information such as your full name, work email address, company name, account status, role, permission level, invitation details, and authentication or account-verification information. Authentication credentials are handled through our authentication provider.

Project and customer information

You or your organization may provide project names, customer names, service addresses, city, state, ZIP code, labels, descriptions, notes, and other job-related details.

Photos, videos, files, and capture details

We process the photos, videos, files, annotations, tags, comments, filenames, and other content you upload. We also process related details such as the uploader, capture and upload time, file type and size, and—when enabled or supplied—latitude, longitude, direction, and address information.

Device, usage, and security information

Our service providers may automatically process technical information such as IP address, browser and device type, operating system, request timestamps, page or feature activity, error records, and security signals. We use essential cookies and browser storage for authentication, preferences, security, and offline upload functionality. We do not currently use advertising trackers in the service.

Communications

If you contact us, we receive the information in your message and any contact details or files you choose to provide.

How we use information

We use information to:

  • create and secure accounts and company workspaces;
  • organize, store, display, search, annotate, share, and synchronize project documentation;
  • apply company roles, permissions, and organization-level data separation;
  • deliver invitations, email verification, password recovery, and service notices;
  • provide maps, location context, and address lookup when those features are used;
  • operate, troubleshoot, maintain, and improve the service;
  • prevent abuse, investigate security incidents, and enforce our policies; and
  • comply with legal obligations and protect users, Linkallup, and others.

We do not use customer project content to serve targeted advertising, and we do not currently sell personal information for money or share it for cross-context behavioral advertising.

How information is shared

Within your organization

Information is available to workspace owners, administrators, supervisors, standard users, or restricted users as permitted by the organization’s access settings. Your organization is responsible for assigning appropriate access and for the people and jobsite information its users submit.

Public share links

Authorized users may create a public link to selected project media. Anyone who receives that link may view the shared content without a Linkallup account. Depending on the options selected when the link is created, the gallery may also show project or customer details, who captured the media, where it was captured, and when it was captured. Share links remain active until an authorized user revokes them, so links should be distributed carefully.

Service providers

We use vendors to operate Linkallup, including:

  • Supabase for account authentication and database services;
  • Cloudflare for private media storage, security, and bot protection;
  • Vercel for application hosting and delivery;
  • Microsoft and GoDaddy for transactional email delivery;
  • OpenStreetMap contributors and related map services for maps and address lookup;

These providers process information on our behalf or under their own applicable terms and privacy notices. They may process information in locations different from yours.

Legal, safety, and business events

We may disclose information when reasonably necessary to comply with law or legal process, respond to valid government requests, prevent fraud or harm, investigate security issues, enforce agreements, or protect rights and safety. Information may also be transferred as part of a merger, financing, acquisition, reorganization, bankruptcy, or sale of assets, subject to applicable law.

Offline capture and device storage

Linkallup is designed to keep working when a device loses internet access. Pending photos, videos, and upload details may be stored locally in the browser’s device storage until the connection returns. Uploads then resume automatically. A queued original is removed from the local Linkallup upload queue after cloud storage and the related project record confirm a successful upload.

Anyone with access to an unlocked device or browser profile may be able to access locally stored information. Use device-level security, sign out on shared devices, and remove queued items you do not want uploaded.

Retention and deletion

We retain account, workspace, project, and media information while needed to provide the service, follow an organization’s instructions, meet legal obligations, resolve disputes, and protect the service. Retention periods vary by the type of information and the reason it is held.

  • Pending offline media remains on the device until it uploads successfully or is removed from that device.
  • Active public share links remain available until an authorized user revokes them.
  • When authorized users delete uploaded media or a project, Linkallup may keep a protected recovery copy of the affected media for up to 30 days before permanent deletion.
  • Security records, provider logs, backups, and records required for legal or fraud-prevention purposes may remain for a limited period after other information is deleted.

Deletion may not immediately remove copies that another person saved from a public share link before it was revoked.

Your choices and rights

You can update certain account or project details in Linkallup, control device location permission through your browser or operating system, revoke public share links if your role allows it, and ask your organization’s administrator to update access or content.

Depending on where you live, you may have rights to request access to, correction of, deletion of, or a copy of certain personal information, or to object to or restrict certain processing. To submit a request, contact us at the address below. We may verify your identity, ask your organization to confirm a workspace-related request, and retain information when permitted or required by law. Authorized agents may submit requests where applicable law allows.

Security

Linkallup uses measures intended to protect information, including authenticated company workspaces, role-based access, organization-level database controls, private cloud media storage, short-lived file access links, encrypted network connections, rate limits, and security logging. No storage or transmission method is completely secure, so we cannot guarantee absolute security.

Protect your password and devices, review member access regularly, revoke links that are no longer needed, and notify us promptly if you suspect unauthorized access.

Children’s privacy

Linkallup is a business service and is not directed to children under 13. We do not knowingly collect personal information directly from children under 13. Contact us if you believe a child provided personal information to the service so we can review and address it.

International processing

Linkallup and its service providers may process information in the United States and other countries. Privacy and data-protection laws in those locations may differ from those where you live. Where required, we use appropriate safeguards for international transfers.

Changes to this policy

We may update this Privacy Policy as Linkallup changes or as legal requirements develop. We will post the updated version here and change the effective date. If a change is material, we may also provide notice in the service or by email when required.
